Students coming from a partner institution

You are a student at a partner university that has an agreement with the Université Polytechnique Hauts-de-France (ERASMUS+, BCI, bilateral agreement...) and you would like to spend a period of study at the University.

Step 1: Choose the UPHF

Step 2: Your nomination

You must be selected by your home university to complete a stay at UPHF. Contact your university's International Relations department to find out about the procedures.

Step 3: Your application

You have been selected and your university has sent us your application. We invite you to complete an online form based on the following dates of stay:

  • To attend classes:
    • If you want your stay to begin in the fall semester: before May 31
    • If you wish your stay to begin in the spring semester: by November 15 
  • If you want to do a lab project: apply six weeks before the project starts. 

Step 4: Preparing your arrival at the Université Polytechnique Hauts-de-France

Citizens from European Union member countries do not need to apply for a visa for their stay in France. A valid national identity card or passport is sufficient (the validity of the identity card or passport must cover at least the entire duration of the stay for studies).

The visa application must be submitted by the applicant.

Depending on their nationality and the length of their stay in France, foreign students will need a visa before their departure.

Residency requirements 

Non-European students (with the exception of Algerian students) who have a long-stay visa (longer than 3 months) are exempted from completing the procedures for obtaining a residence permit upon their arrival in France.
The validation of the Visa Long Séjour valant Titre de Séjour (VLS-TS) is done online with the OFII services within 3 months of your arrival on the page:

You have the possibility, provided you meet certain eligibility criteria, to apply for financial aid from French organizations or institutions for your study stay in France. As a first step, you should contact the international relations department or the relevant department at your home university, which will inform you of its funding possibilities.

Before your arrival, the International Relations Pole will send you a registration file by e-mail. You will have to complete it and attach the following documents by e-mail to @email at least one month before the beginning of your mobility:

  • A certificate of attendance or a copy of your student card from your home institution for the current academic year
  • Photocopy of your valid passport or ID card
  • 1 color or black and white passport photograph
  • Photocopy of the European Health Insurance Card from the country of origin (only for European Economic Area nationals)
  • Birth certificate translated into French (only for nationals outside the European Economic Area)
  • Attestation of payment of the CVEC*
  • The registration form (pre-filled, to be checked and completed)

*Payment of the CVEC ("Contribution à la Vie Etudiante et de Campus") must be effected online. The funds collected are used to finance projects aimed at improving students' study conditions. The price of the CVEC is 92€ (2020-2021)

Important: Only students enrolled in a double degree or diploma program are required to pay the CVEC. You will need your certificate number when you register at the Université Polytechnique Hauts-de-France. 

During the integration seminar, the International Relations Pole will issue you a certificate of arrival as well as your multiservice card which will allow you:

  • Access to university buildings
  • .
  • Access and payment to university restaurants (you can credit this card)
  • Access to resources available in university libraries

If you cannot attend the integration seminar, please make an appointment with the Pôle de Relations Internationales (e-mail: @email) in order to obtain your certificate of arrival and to benefit from assistance in putting together your registration file.

Pedagogical registration

Teaching registration (for students under study contract) :

The choice of lessons or a project is essential for the validation of your credits.  It is materialized in your educational contract.

When you arrive at the Université Polytechnique Hauts-de-France and during the first month of your stay, you have the opportunity to modify it. You must have the changes approved by your (institution-) training component at the University and then present your modified study contract to the International Relations Pole, which will record the courses chosen and forward the document to your home University for signature.

Step 5: Upon arrival at the Université Polytechnique Hauts-de-France

The integration seminar

For international students coming from a partner institution that has signed an agreement with the Université Polytechnique Hauts-de-France, the International Relations Pole offers you the opportunity to participate in welcome, information and discovery sessions before classes begin.

On the program:

  • presentation of the University and the various services offered to students
  • tour of the campuses
  • meetings with representatives of the various training components and student associations
  • visit of the city of Valenciennes


This free integration seminar takes place at the end of August for arrivals in the odd semester and at the beginning of January for arrivals in the even semester on the Campus du Mont Houy..

More information will be sent to you by the International Relations Pole upon your acceptance.

Cultural outings 

Throughout the year, the International Relations Cluster offers exchange students the opportunity to participate in outings to facilitate their integration. These outings also aim to help them discover our region and its riches.

Examples of activities: 

  • Cultural visits: Louvre-Lens Museum, La Piscine Museum in Roubaix, Domaine de Chantilly and much more
  • Sports activities: Accobranche, ice rink, paintball among others 
  • But also visit Valenciennes or go to Parc Astérix!

Step 6: When you leave the Université Polytechnique Hauts-de-France

Before leaving, please contact the Pôle de Relations Internationales who will establish a certificate of end of stay.
At the end of the semester and after your exam period or project defense, the coordinator of the component communicates your grades to the Pôle de Relations Internationales which establishes your official ECTS transcript (see explanations on the grading system and the transcript) . You will receive a copy by email. The original will be sent to your university by mail upon request.
